This means that they cannot be manually enrolled on any DLE page with this specific role as their enrolment takes place in the student record system, also known as UNIT-e with the help of the School or Faculty Offices. Once the relevant role has been applied to them, in 24 hours these changes should be automatically visible in the DLE.<\/p>\n\n\n\n<p>However, in some cases, it may be <strong>urgent<\/strong> to access the course ASAP due to content population\/adjustment, viewing materials and so on. In this situation, <strong>Programme<\/strong> and <strong>Module Leaders<\/strong> can be enrolled on a course page with the \u2018Teacher\u2019 role as a temporary solution before the \u2018Leader\u2019 role kicks in through UNIT-e. To enrol staff with this role, please visit the <a href=\"https:\/\/digi-ed.uk\/support\/article\/adding-a-teacher-faculty-support-or-external-examiner-to-your-course-in-moodle\/\">following supporting material<\/a>.<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">Digital Education is not allowed to manually enrol staff onto any course page unless the relevant confirmation has been received from the School or Faculty Offices. We recommend asking someone in the Programme\/Module Team to enrol their colleagues with the \u2018Teacher\u2019 role.<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">If it is a Shared Content Course or a Subject View Course, the Leader role to be applied to a staff member has to be requested from the main IT Service Desk at the time they raise a ticket with their team to create this page in Moodle. They can be contacted over the phone (01752 (5)88-588) or via \u2018IT Self Service\u2019 application. If they have not had the chance to use a course type like this in the past, they will need to arrange a Zoom meeting first with Digital Education prior to the ticket.<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">Students cannot be manually enrolled on any course page under any circumstance. If they get enrolled with any other role besides \u2018Student\u2019 (which can be only applied through UNIT-e), this may cause a data breach due to the higher permissions any other role has currently. They may be able to access information that should be only visible to staff, such as student attempts and submissions, grades and many more.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Manual enrolment<\/h3>\n\n\n\n<p>Teachers, Non-Editing Teachers and Faculty Support can be manually enrolled on any course page. To enrol staff with one of these roles, please visit the <a href=\"https:\/\/digi-ed.uk\/support\/article\/adding-a-teacher-faculty-support-or-external-examiner-to-your-course-in-moodle\/\">following supporting material<\/a>. This applies to any programme or module page.<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">Digital Education is not allowed to manually enrol staff onto any course page unless it is urgent and the relevant confirmation has been received from the School or Faculty Office. We recommend asking someone in the Programme\/Module Team first to enrol their colleagues with the relevant role.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Meta-link and self-enrolment<\/h3>\n\n\n\n<p><a href=\"https:\/\/digi-ed.uk\/support\/article\/shared-content-courses\/\">Shared Content Courses<\/a> and <a href=\"https:\/\/digi-ed.uk\/support\/article\/what-is-a-subject-view-course-in-moodle\/\">Subject View Courses<\/a> can use various enrolment methods for staff and students as they are not regular programme or module pages registered in UNIT-e, but centre pages to share materials across multiple modules or programmes in Moodle, without the need to duplicate the content on each of these pages. This can include:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><a href=\"https:\/\/digi-ed.uk\/support\/article\/enrolment-methods-in-moodle\/#course-meta-link-enrolments\">Meta-link enrolment<\/a> &#8211; this method can be used to automatically roll over all the participants under a programme or module page to a Shared Content Course or Subject View Course. This will bring across any participant, including staff and students.<\/li>\n\n\n\n<li><a href=\"https:\/\/digi-ed.uk\/support\/article\/enrolment-methods-in-moodle\/#manual-enrolments\">Manual enrolment<\/a> &#8211; this method can be used to manually enrol staff members onto a Shared Content Course or Subject View Course if they only need to access this course but not the respective programme or module page. Please note, for students this method cannot be used.<\/li>\n\n\n\n<li><a href=\"https:\/\/digi-ed.uk\/support\/article\/enrolment-methods-in-moodle\/#self-enrolment\">Self-enrolment<\/a> &#8211; this method can be used to ask students to self enrol on a Subject View Course in case the meta-link method cannot be used due to the fact that not the entire cohort of a programme or module will need to undertake the course, or in case the course can be used by any student in the School or Faculty.<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">External Examiner role<\/h3>\n\n\n\n<p>External Examiners will need to be manually enrolled onto course pages in Moodle once a UoP discretionary IT account has been created for them by the main <a href=\"https:\/\/www.plymouth.ac.uk\/about-us\/university-structure\/service-areas\/it-services\">IT Service Desk<\/a>. Please note, this may take a few days. Once they can access Moodle via their account and they are enrolled onto the relevant course pages, all materials and sample work should be shared with them via the \u2018Module Box\u2019. For more information, please visit the <a href=\"https:\/\/digi-ed.uk\/support\/subject\/online-module-boxes\/\">following topic of the Knowledge Base<\/a>.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Global Faculty Support role<\/h3>\n\n\n\n<p>Some Faculty Support members may wish to access all course pages in Moodle without the need to ask each academic team to enrol them beforehand. To gain these permissions in the DLE, they will need to undertake the relevant self-directed training (Moodle course). Additionally, they will need to collect authorisation from their Assistant Faculty Registrar or Registrar. For more information, please visit the <a href=\"https:\/\/dle.plymouth.ac.uk\/course\/view.php?id=72212\">following course<\/a> in Moodle.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Filters<\/h2>\n\n\n\n<p>You can use filters to filter our participants based on various conditions\/matches, such as keywords, role types, status, enrolment methods, groups and inactivity. Additionally, you can also use the alphabetic filter if you are searching for a particular user.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large is-resized\"><img loading=\"lazy\" decoding=\"async\" width=\"1024\" height=\"390\" src=\"https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-1024x390.png\" alt=\"Screenshot of the display of the filters (highlighted) under the Participants menu.\" class=\"wp-image-6454\" style=\"aspect-ratio:2.6256410256410256;width:667px;height:auto\" srcset=\"https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-1024x390.png 1024w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-300x114.png 300w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-768x292.png 768w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-50x19.png 50w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-60x23.png 60w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10-100x38.png 100w, https:\/\/digi-ed.uk\/support\/wp-content\/uploads\/2023\/11\/10.png 1043w\" sizes=\"auto, (max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">Suspended status<\/h2>\n\n\n\n<p>If a user has a \u2018Suspended\u2019 status, different actions will need to be considered:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Programme end date &#8211; if the programme end date has passed in UNIT-e, anyone enrolled on any module under this programme will automatically become \u2018Suspended\u2019, including students, Programme and Module Leaders. In this case, with the help of the Faculty\/School Offices any material\/submission can be sent to students by e-mail if requested. Programme or Module Leaders can be potentially <a href=\"https:\/\/digi-ed.uk\/support\/article\/adding-a-teacher-faculty-support-or-external-examiner-to-your-course-in-moodle\/\">enrolled as \u2018Teachers\u2019<\/a>.<\/li>\n\n\n\n<li>Withdrawn users &#8211; if a student, is withdrawn from a course, their enrolment will become \u2018Suspended\u2019. Students will need to be re-enrolled in UNIT-e to make their status \u2018Active\u2019 or with the help of the Faculty\/School Offices any material\/submission can be sent to students by e-mail if requested and they do not need to complete assessments or other interactive tasks. If a Programme or Module Leader is withdrawn from a course, their enrolment will become \u2018Suspended\u2019. Programme or Module Leaders can be potentially <a href=\"https:\/\/digi-ed.uk\/support\/article\/adding-a-teacher-faculty-support-or-external-examiner-to-your-course-in-moodle\/\">enrolled as \u2018Teachers\u2019<\/a> if they are not the leaders anymore.<\/li>\n\n\n\n<li>Moving programmes\/modules &#8211; if users move programmes or a new programme\/module replaces the old one, on these old pages in Moodle you will see all users \u2018Suspended\u2019, whilst on the new pages their enrolment should be \u2018Active\u2019.<\/li>\n<\/ol>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">Some of these changes in UNIT-e may take up to 24 hours before they are visible in Moodle. Please note, the \u2018Suspended\u2019 status of any user cannot be manually changed in Moodle.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Group allocation<\/h2>\n\n\n\n<p>For managing groups in Moodle, please look at the following supporting material. Please note, the group allocation does not affect any student or staff enrolment &#8211; for example, if under a Shared Content Course\/X DLE page, a student is enrolled (meta-linked) from DigiEd101 (23\/AU\/AY\/M) but the group shows DigiEd202 (23\/AY\/M) next to their name under the \u2018Participants\u2019 menu.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Module Information block<\/h2>\n\n\n\n<p>For more information about the \u2018Module Information\u2019 block, please visit the <a href=\"https:\/\/digi-ed.uk\/support\/article\/module-information-block\/\">following supporting material<\/a>.
